Coach's Guide

Everything you need to book the cages, see your schedule, log your hours, and take attendance — all in one place.

Open PFA Engine →pfaengine.com

Welcome.PFA Engine is your private reservation and work system — built by PFA for the coaches who train with us. It runs in any web browser on your phone or computer; there's nothing to download.

This guide walks through everything you'll do day to day. Each step tells you exactly what to click. Whenever you want to jump in, just go to pfaengine.com.

1 Signing in

PFA Engine is invite-only — PFA adds your email ahead of time, so you just sign in with it.

  1. Go to pfaengine.com in any browser (Chrome, Safari, etc.).
  2. Click Continue with Google and choose the Google account on the email PFA invited.
  3. That's it — you're in. The next time you visit, it usually remembers you.
No Google account on that email?Click Send me a sign-in linkinstead. We'll email you a one-tap link that signs you in — no password to remember.
Seeing "This email isn't authorized yet"? That just means PFA hasn't added that exact address. Let PFA know which email you want to use and try again once they confirm it's added.

2 Finding your way around

Once you're in, there are four tabs along the top. That's the whole app.

  • Rentals— book a cage (or bullpen / weight room) and review the ones you've booked.
  • Work Log — log the hours you worked, or confirm hours that were already on your schedule.
  • Attendance — check off which athletes showed up to a session.
  • Schedule — see your week at a glance: your work blocks and your cage rentals together.
On your phone? The same four tabs are there — they sit in the menu at the top and everything works the same way, just stacked for a smaller screen.

3 Booking a cage rental

This is the calendar where you reserve a cage. Open slots are free to grab; red ones are already taken.

  1. Click the Rentals tab, then Log a cage rental (or the Log rental button).
  2. Use the day arrows or the Today button to land on the day you want.
  3. You'll see a grid: each row is a resource (Cage 1, Bullpen, Weight Room…) and each column is a 30-minute time slot.
  4. Tap an open slot. A bar appears at the top of the screen showing what you picked.
  5. Click Schedule. A booking window opens.
  6. Pick how long you need — 30 min, 1 hr, or a custom length (only up to the next taken slot). Add a note if you like.
  7. Click Schedule to confirm. Your slot turns yellow— that means it's yours.

Booking several slots at once

  • Click Select multiple slots, then tap each open slot you want in the same row.
  • When you've got them all, click Schedule to book them together.
Prefer typing it in?Click Prefer the form? at the top to switch to a simple form — pick the date, start and end time, and resource, then submit. Same result, no grid.
What the colors meanOpen— free to book  · Yellow— your booking  · Red — taken or blocked

4 Checking your schedule

One screen that shows your whole week — both the work PFA has you scheduled for and the cages you've booked.

  1. Click the Schedule tab.
  2. You'll see the week laid out — days across the top, times down the side. Your work blocks and your rentals both show up here.
  3. Use the arrows to move to last week or next week. (On your phone it shows as a simple day-by-day list.)
Nothing there? If the week is empty you'll see "Nothing scheduled this week." Check that you're on the right week with the arrows.

5 Logging your work hours

This is how PFA knows the hours you worked so you get paid for them. There are two easy ways.

The fast way — confirm what was scheduled

  1. Click the Work Log tab (you'll land on Log work).
  2. At the top you'll see your recent scheduled blocks that haven't been logged yet. Each shows the program and the time.
  3. For one that happened, just tap to confirm it — it's logged in one click.
"Overdue" tag? That just means a scheduled block ended a while ago and still hasn't been confirmed. Confirm it (or, if it didn't happen, use the cancel option to clear it).

The manual way — log hours yourself

  1. In the Log work tab, scroll to Log your hours.
  2. Pick the program, set the start and end time, add a note if needed.
  3. Submit. Done.
Logging something that wasn't on your schedule? That's allowed — it just gets flagged for PFA to review, which is normal. Log it and carry on.

Want to see everything you've logged? Click the History sub-tab.

6 Taking attendance

Check off who showed up to a session in a few taps.

  1. Click the Attendance tab.
  2. Pick the program and the date at the top.
  3. A checklist of the athletes in that program appears. Check the ones who were there.
  4. Submit to save it.
Empty list?If no athletes show up, that program may not have anyone assigned yet — let a PFA admin know.

7 Seeing what you owe PFA

Your home screen shows a running total of what you owe PFA for the cages you've rented.

  • On the Rentals home screen, look for the card "What you owe PFA — cage rentals."
  • It shows your total rentals billed and any payments PFA has recorded — so the balance is always current.
Two different things — don't mix them upCage rentals = money you pay PFA (shown on this card). Work hours = money PFA pays you— those are handled separately and aren't on this card. This card is read-only; pay PFA directly the usual way.

8 Fixing or canceling a rental

Booked the wrong slot or need to change a note? Your rentals are easy to manage.

  1. On the Rentals home screen, click My rentals to see your history.
  2. Find the rental. Use the pencil to edit it, or the trash to remove an upcoming one.
Already-past rentalsFor rentals that have already happened, you can still fix the note, but the billable details are locked. If a past one needs to be removed, use "Request removal" and PFA will take care of it.
